Valeria

Setubal on Feb 2025

I hired Anna to make two picnics for me - one was a writing workshop picnic in Ginchu with amazing decoration and wonderful flowers, and the second was for my anniversary in Praia da Pica just for the two of us. She came earlier, set everything up, we just arrived and everything was ready, and after we went away she handled the cleanup too. She was always in touch, asked about things I didn’t know are important, very helpful, and I would recommend her to, like, everyone.

Iryna

Lisbon on Feb 2025

I hired Anna to organize a picnic party for my family, and all was good. She is a very good professional, very open, always on the phone and quick to answer, she checked each step with me, proposed some other things, and when we arrived everything was prepared in time. She used only natural flowers and said no balloons, which I liked, and she took care of all - food and cleaning - so we just had a great time. The food was very fresh, like cut a few minutes ago, with cheese, croissant, jamon and fruits, and the price felt fair though I always wish it could be cheaper.

Frequently Asked Questions

What event equipment can I rent in Lisbon?
In Lisbon you can hire sound systems, microphones, DJ kits, lighting, projectors, LED screens, stages and truss, tents and marquees, generators, photo booths, furniture, bars and catering equipment, and backline. Many suppliers bundle items into wedding, corporate or party packages with delivery and setup, plus English-speaking technicians when required.
How much do event equipment rentals cost in Lisbon?
Prices are set by individual providers and paid directly to them, but typical day rates in Lisbon are: small PA €80, €200, DJ set €120, €300, basic lighting €100, €250, projector €60, €150, LED wall €300, €900, stage €15, €25/m2, tents €250, €1,200, generator €150, €350. Costs vary by season, duration, delivery, setup and staffing.
Do rentals include delivery, setup and on-site technical support?
Most Lisbon event hire companies offer delivery and collection, and many include basic setup for AV, lighting and furniture. On-site technicians, show callers or streaming engineers are usually add-ons; specify your run-of-show, access times and floor plan to receive accurate quotes and ensure the right level of support.
How far in advance should I book event equipment in Lisbon?
Book 3, 6 weeks ahead for small gatherings, and 6, 10+ weeks in peak months (May, October, Christmas and New Year). Large items like tents, staging or LED walls and any custom builds go fastest; last-minute hires are sometimes possible but inventory and delivery slots can be limited or carry rush surcharges.
How can I vet the quality and reliability of rental providers?
Check recent reviews, ask for photos or model lists of the actual equipment, and request evidence of regular maintenance and electrical safety checks. Clarify backup policies, response times, and whether a technician will remain on site; reputable Lisbon suppliers will outline contingencies and provide references on request.
Do I need permits for outdoor events or tent rentals in Lisbon?
For public spaces, you generally need permission from Câmara Municipal de Lisboa and sometimes the local parish council; parks and waterfront areas can require extra approvals. Noise limits apply after 23:00, and larger marquees may need safety documentation, start applications early and ask your provider to advise on site-specific requirements.
What power and technical requirements should I plan for in Portugal?
Portugal uses 230V Type F (Schuko) sockets; confirm available amperage and dedicated circuits with your venue. For bigger rigs, you may need three-phase power or a generator, distribution, cable ramps and IP-rated gear outdoors, ask for a power plan and load schedule from the rental company.
What is the typical cancellation or change policy for rentals?
Policies vary by company, but expect deposits on booking and escalating fees inside a defined window (often 7, 14 days before the event, tighter in peak season). Custom builds and sub-rented items are commonly non-refundable; get all terms, deadlines and any weather reschedule options confirmed in writing.
Do I need insurance for hired equipment and who is liable for damage?
Providers usually carry public liability insurance, but you may be responsible for loss or damage to hired kit while on site. Ask about damage waivers, security requirements and overnight storage, and check whether your event or venue insurance covers hired equipment and third-party claims.
What’s the best rain or wind plan for outdoor events in Lisbon?
Work with your rental company on contingencies: wind-rated marquees with sidewalls, weighted ballast, non-slip flooring, cable protection, IP65 lighting and protected power distribution. Agree thresholds for postponement, availability of backup kit, and any rescheduling costs; Lisbon’s coastal winds can affect staging, banners and LED screens.

Selecting equipment rentals for events is crucial to ensuring a smooth and memorable experience. By adhering to these dos and don’ts, you can confidently navigate the rental process and align your choices with your vision. Prioritize reliable service providers, insist on high-quality equipment, and embrace personalized services that reflect your unique style. At the same time, avoid the pitfalls of neglecting rental terms, compromising on quality, or settling for generic solutions. This balanced approach will not only enhance your event but also provide the peace of mind you need on your special day.

Dos and Don’ts as an expat

Essential dos and don’ts for securing the perfect equipment rentals for your event

Do’s
Do Choose Dependable Service Providers
Look for service providers known for their reliability and punctuality. Ensure they have a good track record of being on time for setup, especially for events where timing is critical, such as weddings. This reliability contributes significantly to a seamless event experience.
Do Seek Personalization in Services
Select equipment rental companies that prioritize understanding and reflecting your unique style and vision. A collaborative approach where the provider offers personalized recommendations can greatly enhance your event's atmosphere and align with your personal aesthetic.
Do Verify Equipment Quality and Condition
Always confirm that the equipment available for rental is in top condition and well-maintained. Providers should offer pristine equipment that not only meets aesthetic expectations but also functions reliably throughout the event, ensuring everything goes smoothly.
Do Understand Their Rental Terms
Before finalizing your choice, make sure to read and understand the rental terms thoroughly. Clear and transparent terms can help prevent any misunderstandings and ensure a stress-free experience during planning and execution of your event.
Dont’s
Don't Ignore Equipment Quality
Always verify the condition of the rental equipment before contracting with a provider. Poor-quality equipment can lead to significant issues during your event, detracting from the overall experience and possibly causing delays or failures.
Don't Skip Reviewing Rental Terms
Failing to read and understand the rental terms can lead to misunderstandings regarding delivery, setup, and return policies. Make sure you have clarity on all terms to avoid unexpected charges and logistical problems on the event day.
Don't Neglect Provider Responsiveness
Choosing a provider who is not prompt and clear in their communication can create unnecessary stress. Make sure to engage with a responsive service provider who actively addresses your questions and concerns throughout the planning process.
Don't Overlook Personalization Opportunities
Avoid providers that do not offer personalized services. A one-size-fits-all approach may not fully reflect your vision for the event. Look for companies that are willing to adapt their offerings to meet your specific needs and aesthetics.
