Hilde

Belgium/Barcelona on Jun 2025

We got married in the Barcelona area after starting plans in 2018 and then COVID pushed everything, and she kept things calm and moving. She had the contacts with the caterers, florists and venues, and on the day I didn’t have to think about the practicalities at all - I barely noticed the team until she handed me an umbrella when I was in the sun. There were still restrictions in fall 2021, but she made a plan so we could go ahead and make the best out of it. In Spain when you mention boda everything triples and flowers were so expensive, but she looked for alternatives and overall the price felt fair and everything ran on schedule.

Barbara

Barcelona on Jun 2025

We hired Petra and the Pearl Sandals team as our wedding planner in Barcelona and it went super well. They helped with basically everything - finding the best food, the music and DJ, the decorations, and even arranging buses from the center to the venue, and everything went as planned. Petra is very warm, easy to connect with, super available in English, and nothing was too much for her, even when guests had specific requests; she took away a lot of stress for us. She kept the flow from ceremony to dinner to the dance, also helped with a welcome party the day before, was flexible when we chose the venue ourselves, and the price felt fair.

Cecilia

Sitges on Jun 2025

I hired them for wedding planning and coordination for our celebration at Casa Felix, about 15 minutes outside Sitges. They were super responsive, fun and easy to work with, and even when I kept changing my mind they said do not worry and added last-minute details to the ceremony, with lots of options that made it very simple. They were very organized and even had some free stuff left over from other ceremonies, which was awesome, and planning from the U.S. for a wedding in Spain felt surprisingly smooth. Weddings are always expensive, but the price felt fair and we stayed within our budget.

Frequently Asked Questions

How far in advance should I book a wedding planner in Barcelona?
For peak season (May to October), secure your wedding planner 12, 18 months ahead, especially if you want popular venues or weekend dates. Off‑peak weddings can often be planned within 6, 9 months, while elopements may be arranged sooner. Booking early also helps with venue holds and key supplier availability.
How much does a wedding planner in Barcelona cost?
Indicative market ranges: month‑of coordination typically €1,200, €2,500; partial planning €2,500, €4,500; full‑service €4,500, €9,000+ or around 10, 15% of the overall budget. Prices are set by each planner and paid directly to them. Request an itemised proposal that clarifies inclusions, staffing and potential extras.
Do Barcelona wedding planners speak English and work with international couples?
Yes, many Barcelona wedding planners specialise in destination weddings and offer fluent English, often alongside Spanish and Catalan. They can translate supplier communications, contracts and timelines, and coordinate video calls across time zones. Ask about previous international weddings similar to your style, size and cultural requirements.
What services are typically included by wedding planners in Barcelona?
Typical services include venue scouting, supplier sourcing and negotiation, timeline creation, budget guidance, styling and design, logistics, and on‑the‑day coordination. You can choose full‑service, partial planning, or month‑of coordination depending on your needs. Confirm exactly what’s included, meeting frequency, and staffing on the day.
How can I vet and choose a reliable wedding planner in Barcelona?
Review recent Barcelona weddings for expats and read testimonials on independent platforms. Request references, sample timelines and galleries, and discuss how they handle weather plans, curfews and permits. Ensure the contract is clear on deliverables, fees, cancellation terms and response times, then schedule a video call to assess chemistry.
What are the legal requirements for getting married in Barcelona as a foreigner?
Civil marriages in Spain often require residency or specific documents, so many international couples do the legal ceremony at home and hold a symbolic celebration in Barcelona. If you pursue a Spanish civil or religious ceremony, expect certified translations, apostilles and longer lead times. Confirm requirements with your consulate and the local registry before booking.
Can a planner organise everything remotely before we arrive?
Yes, planners commonly conduct virtual venue tours, share mood boards and floor plans, and coordinate suppliers via email and WhatsApp. They also manage digital contracts and timelines to keep decisions on track across time zones. Plan a site visit and tasting trip closer to the date for final confirmations.
Do I need a day‑of coordinator if my venue has an in‑house manager?
A venue manager focuses on the property, access, setup rules, catering timelines and house policies. A wedding planner or day‑of coordinator represents you, managing all suppliers, the running order, guest logistics and contingency plans across locations. Many couples choose both for seamless coordination and peace of mind.
Are there extra costs or permits to consider in Barcelona?
Budget for 21% IVA (VAT), late‑night overtime, transport for suppliers, vendor meals, and delivery/pick‑up fees. Outdoor, rooftop or beach ceremonies may require permits and face sound restrictions set by the city. Clarify curfew times, power needs and weather back‑ups to avoid last‑minute charges.
Can planners handle multicultural, religious or same‑sex weddings in Barcelona?
Yes, experienced planners handle multicultural, religious and same‑sex weddings with sensitivity and expertise. They coordinate cultural rituals, multilingual ceremonies, specific cuisine requirements and specialist entertainment (e.g., baraat, kilted bands, chuppah), and can manage extended timelines. Ask to see relevant case studies and supplier networks for your traditions.

Dos and Don’ts as an expat

Smart choices: dos and don’ts for hiring the perfect wedding planner

Do’s
Do Prioritize Experience with Event Coordination
Select a wedding planner who has extensive experience in coordinating events. A planner with a proven track record can manage every aspect seamlessly, ensuring that your special day is well-organized and stress-free.
Do Collaborate on Music Selection
Engage with your wedding planner about music preferences early on in the planning process. Collaborating on the playlist can create a personal touch that resonates with your guests and sets the right atmosphere for your celebration.
Do Inquire about Vendor Connections
Choose a wedding planner with established relationships with reliable vendors. Connections with bartenders, caterers, and equipment providers can streamline services and enhance the quality of your wedding experience.
Do Emphasize Lighting and Ambiance
Discuss the importance of lighting with your wedding planner as it can dramatically influence the mood of your event. A planner who understands how to set up lights creatively can elevate the aesthetics of your venue, making the day even more memorable.
Dont’s
Don't Ignore the Importance of a Planner's Experience
Choosing a wedding planner without sufficient experience can lead to oversight, poor organization, and last-minute chaos. Ensure your planner has a proven track record with successful events and can handle the complexities of wedding planning seamlessly.
Don't Neglect to Discuss Music Preferences Early
Failing to communicate your music preferences early on can result in a playlist that doesn't reflect your taste or connect with your guests. Discuss your musical choices in detail to ensure a personal touch during the celebration.
Don't Skimp on Equipment and Setup Quality
Choosing a planner who doesn't prioritize high-quality equipment and proper setup can jeopardize the overall atmosphere of your wedding. Ensure your planner is committed to providing top-notch sound and lighting to enhance your special day.
Don't Overlook Backup Plans for Potential Issues
Neglecting to discuss contingency plans for unexpected issues can lead to significant problems on your wedding day. Make sure your planner has strategies in place for potential challenges, such as weather changes or technical failures.
